Management Mode > Personnel

In "Personnel," employee information can be managed, including personal details, salary, approval permissions (such as leave, overtime, business trips, etc.), and group and manager settings for assigning approval responsibilities. Additionally, you can view employee performance, contacts, birthdays, and years of service, support file uploads and downloads, and provide data export functions (in xlsx format). To upload files, a Premium storage plan must be subscribed to.


Personal Information

Management Mode > Personnel > Personal Information

You can view or edit employee personal information, including name, nickname, employee number, tags, gender, birthday, phone number, email, address, responsibility system, allowed IP addresses, clock-in reviewers, leave reviewers, overtime reviewers, telecommuting reviewers, business trip reviewers, groups, positions, hourly wage, daily wage, monthly salary, joining date, official employment date, extension, and emergency contacts.

Birthday

Management Mode > Personnel > Personal Information > Select Employee Name > Birthday

If a birthday is entered, employees with birthdays within the next 30 days will appear on the homepage of the management mode, making it easier to issue birthday gifts or arrange celebrations.

Responsibility System

Management Mode > Personnel > Personal Information > Select Employee Name > Responsibility System

The responsibility system is divided into clock-in required and clock-in not required.

Allowed IP Address

Management Mode > Personnel > Personal Information > Select Employee Name > Allowed IP Address

Only the IP addresses that match when using Wi-Fi for clock-in are allowed.

Clock-In Reviewer

Management Mode > Personnel > Personal Information > Select Employee Name > Clock-In Reviewer

When an employee submits a clock-in correction request, the system will submit the request to the designated reviewer for approval.

Reviewer Qualifications:

  1. Creator: Has the highest management rights for the entire organization and can review all requests.
  2. Highest Manager: Has the same review rights as the creator and applies to the entire organization.
  3. Manager in the Same Group: Can only review clock-in correction requests from employees in their group, ensuring a clear scope of authority.

This design ensures that requests are processed by managers familiar with the employee's situation or who have appropriate authority, improving review efficiency and accuracy. Additionally, the system records the review process, ensuring transparency of data.

Note:

  • Currently, the system only supports setting one reviewer.
  • The reviewer only has review and approval authority and cannot delete or modify data.
  • If the reviewer no longer has administrator privileges, they can still review leave requests. However, if the reviewer is set to leave the company, the system will not allow assigning a reviewer, and the administrator must reset all employee data previously reviewed by that reviewer.

This limitation ensures that review responsibilities are clear and prevents unauthorized record changes. If further modifications or adjustments are needed, they must be handled by the creator or the highest manager.

Leave Reviewer

Management Mode > Personnel > Personal Information > Select Employee Name > Leave Reviewer

When an employee submits a leave request, the system automatically submits the request to the designated reviewer for approval.

Reviewer Qualifications:

Note:

  • Currently, the system only supports setting one reviewer.
  • The reviewer only has review and approval authority, with no permission to delete or modify data.
  • If the reviewer no longer has administrative rights, they can still review employee leave requests. However, if the reviewer is set as leaving, the system will not allow setting a new reviewer, and the administrator must reset all data previously reviewed by the reviewer.
  • The leave request is currently not integrated with the shift schedule, so approved leave times will not appear in the schedule.

This design ensures a simple and clear review process, allowing reviewers to focus on handling requests. Future enhancements will consider integrating the shift schedule to provide comprehensive integration.

Overtime Reviewer

Management Mode > Personnel > Personal Information > Select Employee Name > Overtime Reviewer

When an employee submits an overtime request, the system will submit the request to the designated reviewer for approval.

Telecommuting Reviewer

When an employee submits a telecommuting request, the system will automatically submit the request to the designated reviewer for approval.

Business Trip Reviewer

Management Mode > Personnel > Personal Information > Select Employee Name > Business Trip Reviewer

When an employee submits a business trip request, the system automatically submits the request to the designated reviewer for approval.

Clock-In Correction Remaining

Management Mode > Personnel > Personal Information > Select Employee Name > Clock-In Correction Remaining

This section displays the remaining number of clock-in corrections for the employee, defaulting to 12 times, and can be adjusted as needed.

  • Application and Deduction: When an employee submits a clock-in correction request, the system will automatically deduct one quota.
  • Approval Result: If the request is not approved, the deducted quota will automatically be returned to the employee's account.

Reminder:

  • Reviewers should handle clock-in correction requests promptly to avoid affecting the employee's work schedule.
  • Confirm the accuracy of quota deductions or returns to ensure correct record-keeping in accordance with system rules.

Directory

Management Mode > Personnel > Directory

Displays the employee directory.

Currently, only administrators can view the directory.


Birthday

Management Mode > Personnel > Birthday

Displays employee birthdates.

Currently, only administrators can view the directory.


Years of Service

Management Mode > Personnel > Years of Service

Displays the employee's years of service, calculated from the joining date.

Currently, only administrators can view the directory.
