Getting Started with SwipePoint as an Administrator

If you are an administrator using SwipePoint for the first time, follow these steps to quickly get started.


Download and Install

Check Device Compatibility

SwipePoint APP is compatible with:

  • iOS / macOS: iOS 14 or later, macOS 12 or later
  • Android: Android 8 or later

Ensure your device meets the version requirements.

Download SwipePoint APP

  • iOS (iPhone/iPad/Mac): Go to the App Store, search for SwipePoint, and download it. You can also use the official installation link.
  • Android: Go to the Google Play Store, search for SwipePoint, and download it. You can also use the official installation link.

📌 Note: If you cannot find SwipePoint in your region, switch your app store region to Taiwan for download.


Register and Log In

Log in to SwipePoint

  1. Open the APP and choose a login method:
    • Apple Devices: Tap Sign in with Apple
    • Android Devices: Tap Sign in with Google
  2. Follow the on-screen instructions to complete authorization and log in successfully.

Important Notes

  • No additional account registration required; use Apple/Google accounts for login.
  • If you previously registered with a phone number, switch to Apple or Google account login for stability.
  • On first login, the system may request location and notification permissions. Tap "Allow" to ensure proper clock-in functionality.

Create and Manage an Organization

Create a New Organization

  1. Enter Admin Mode:
    • Tap the menu in the top-left corner and switch to Admin Mode.
  2. Create an Organization:
    • Tap Create New Organization, enter your company name, and submit.
    • You will automatically become the Creator, holding the highest admin rights.
  3. Confirm Organization Creation:
    • Your organization will appear in the Organization List.

⚠️ Caution:

  • Only the creator can delete the organization; other admins cannot.
  • Deleted organizations cannot be restored, so proceed carefully!

Set Organization Information

  1. Invitation Code & QR Code:
    • The system generates a unique invitation code and QR code for employees to join.
  2. Time Units:
    • Set calculation units to 15 minutes, 30 minutes, or 1 hour.
  3. Feature Settings:
    • Missed Clock-in Requests: Allow employees to submit missed clock-in records.
    • Leave Requests: Enable employees to submit leave requests.
    • Overtime Clock-in: Allow employees to record overtime.
    • GPS / Wi-Fi / NFC Clock-in: Select the allowed clock-in methods.

Permission Management

SwipePoint offers four management levels:

  1. Creator - Full administrative rights, cannot be removed.
  2. Super Admin - All permissions except deleting the creator.
  3. Admin (Custom Permissions) - Manages specific employees or features.
  4. Employee - No admin rights, can only clock in.

How to Promote an Employee to Admin?

  • Go to "Permission Management", select an employee, and assign admin rights.

Employee Management

Invite Employees to Join

Administrators can invite employees through:

  1. Invitation Link - Send a link for employees to join.
  2. QR Code - Employees scan the QR code to join.
  3. Invitation Code - Employees enter a numerical invitation code to request access.

Employee Joining Process

  1. Employees download SwipePoint, log in, and select Join Organization.
  2. Enter invitation code or scan QR code to submit a request.
  3. Administrator Approval:
    • Go to Organization Management > Join Requests to approve employees.

Edit Employee Information

Administrators can modify:

  • Basic Info (Name, Position, Employee ID)
  • Leave Approval Supervisor (Assign a manager for leave and overtime approvals)
  • Salary & Employment Info (Used for payroll calculations)

Handling Employee Departures

  1. Mark Employee as Departed:
    • In "Personnel Management," change the employee status to Departed.
  2. Attendance Records Remain Accessible:
    • Administrators can still view the employee’s clock-in and leave history.

Attendance Rules Configuration

Set Clock-in Methods

Administrators can choose:

  • Button Clock-in - Tap the APP button to clock in.
  • QR Code Clock-in - Scan a fixed or dynamic QR code.
  • NFC Clock-in - Use NFC tag for clock-in.
  • GPS Location Clock-in - Restrict clock-in to a specific location.
  • Wi-Fi / Bluetooth Clock-in - Connect to a designated Wi-Fi or Bluetooth device.

Create Work Schedules & Attendance Rules

  1. Create shifts (e.g., day/night shifts)
  2. Set start/end times
  3. Define late, early leave, and overtime policies
  4. Enable or restrict missed clock-in requests

Attendance Records & Reports

View Clock-in Records

  • Go to Admin Mode > Clock-in Records & Management to access employee attendance logs.
  • Filter by date or employee for specific records.

Handle Missed Clock-in Requests

  • Employees can submit requests for missed clock-ins.
  • Administrators must approve requests for records to be updated.

Export Attendance Reports

  • Export to Excel (XLSX) format for payroll calculations.
  • Available exports:
    • Employee Clock-in Records
    • Overtime Records
    • Leave Records

Additional Features

Announcement Management

  • Publish company-wide announcements viewable in the APP.
  • Supports attachments like PDF and Word documents.

Notification Settings

  • Administrators receive push notifications for employee clock-in, leave, and overtime requests.
  • Enable "Attendance Anomaly Notifications" for real-time updates on late or early leave cases.
